Friday, eight in the evening. A customer sends a private message: “Any appointments tomorrow?” The receptionist is at home and will answer in the morning. By then the slot has gone: a regular called the barber directly, and the barber wrote the booking in a notebook. On Saturday, two people arrive for the same chair.

Sound familiar? Then “bot or website?” is not quite the right question.

**The honest answer is:** **most barbershops need neither a separate booking bot nor an expensive website.** They need one calendar with every entry point leading to it. Let us look at which entry points to open, what they cost and how to judge whether the investment pays.

## The main mistake: three separate diaries

Double bookings and lost customers appear when every channel has its own diary: one in the bot, another on the website, a third in the receptionist's notebook and a fourth on the barber's phone.

**The rule is simple:** **a barbershop needs one source of truth, the calendar in its booking system.** A customer can come from anywhere, but the appointment always goes to one place:

**Yandex Maps / 2GIS / website / social media / QR code / recommendation → one booking system → one calendar for the barbers → one customer database → reminders.**

Arguing about “bot or website” misses the point. They are doors into the same room.

## The room: choosing a booking system

Booking systems such as YCLIENTS, DIKIDI and Altegio provide that room: staff schedules, customer records, reminders and prepayment. Yandex Maps, 2GIS, websites and messengers bring people into it.

- **YCLIENTS.** Strong integration with Russian platforms: its booking widget works on websites and more than 15 partner platforms, including maps, with over 100 integrations advertised. It supports reminders, prepayment and review requests. A partner quotes around RUB 4,050 a month for a team of up to ten barbers, or from RUB 1,600 for one specialist. There is a seven-day trial.
- **DIKIDI.** Its pricing is attractive: many features are free, with paid extras. Third-party directories list plans at RUB 590, 900 and 2,500 a month, but there is no official public price list, so check before paying.
- **Altegio.** A capable international system with an open API and no booking commission, with a guide price from USD 22 a month.

For a barbershop with four to ten barbers I would choose YCLIENTS for its ready-made maps connections. DIKIDI can be cheaper initially, but saving a couple of thousand roubles makes little sense if you later have to connect booking sources manually.

## The doors: what each channel provides

- **Yandex Maps.** A strong entry point for a new customer: they search for “barbershop nearby”, see a rating and photographs, and book immediately. A basic listing is free. For a YCLIENTS booking button to appear, the business name, address and phone number must match between the listing and booking system. Connection takes seven to ten days.
- **2GIS.** The same principle, also free, and worth connecting.
- **A website with a booking widget.** Customers install nothing, and barbers get no additional administrative work. It is also your own shop window, discussed below.
- **VK, Telegram and MAX.** Useful for communication, news and repeat contact. They work as booking entry points only when they lead to the same system.
- **WhatsApp.** Blocked in Russia in 2026, so it is not worth investing in as a channel there.

**A separate point about Telegram:** it faced restrictions and slowdowns in 2026, with access problems continuing into autumn. **Keeping the entire diary inside one messenger puts all bookings at risk** if that messenger stops working.

## When a chatbot really is useful

A simple booking bot asks a person to “choose a service → barber → date → time”. It recreates what the booking system's widget already does, for an additional fee.

There are two options:

- **A bot with one “Book” button opening the same widget.** Almost no custom development, with a guide price of RUB 5,000-15,000. This is the sensible option if you want a presence in a messenger.
- **A fully integrated bot connected to the booking system.** RUB 30,000-80,000, plus RUB 500-3,000 a month for support.

Consider the second option. A bot costs RUB 40,000 plus RUB 1,000 a month in support and saves the receptionist eight hours a month at a hypothetical RUB 500 an hour. The saving is RUB 4,000; after support, RUB 3,000 remains. **It pays for itself in about 13 months.** A normal booking link provides almost the same result at no additional cost.

A bot starts earning its keep when it does more than booking: a complex loyalty scheme, consultations, beard-care product sales or reminders with personalised offers.

## Why have a website if maps and booking software already work?

**The booking system handles the appointment. The website helps people choose where to book.**

A customer is choosing between similar barbershops in nearby streets. A Maps listing shows a rating and a few photographs. A website can show much more:

-   **clear prices** and the time each service takes;
-   **barbers and their work**, letting someone choose a particular person rather than just a shop;
-   **the interior, nearby transport and parking**;
- **answers to questions** and one clear “Book” button.

A website can also answer search queries that the listing cannot cover properly:

-   “men's haircut \[district\]” → a haircut page;
-   “beard trim \[district\]”, “grey blending \[district\]” → pages for those services;
-   “men's haircut price \[district\]” → a service with an open price list;
-   “barber Ivan \[shop name\]” → the barber's page and work;
- “\[shop name\] reviews” → the home and contact pages.

Do not create 50 identical pages for “barbershop on street X” and “barbershop on street Y” without real branches there. The principles are explained in [“What is SEO?”](https://rm-syst.ru/en/blog/projects/chto-takoe-seo-bazovye-pravila).

### A website as the place that connects every route

One underrated role of a website is bringing all your entry points together on your own domain:

-   **“Book”** opens the booking widget;
-   **“Message on Telegram”**, **“Message on MAX”** and **“Message on VK”** open a conversation with the receptionist;
-   a link to your **channel** shows recent cuts and today's available appointments;
- a **QR code** on mirrors, business cards and gift certificates leads to your website rather than a particular messenger.

The customer chooses a convenient method. If a messenger becomes unreliable tomorrow, you change one link on the website. A thousand printed QR codes and your Maps listings keep working.

**The same approach works in a contact form:** people choose whether to receive a phone call or a message on Telegram or MAX. Communication channels change; the website address stays the same.

Finally, your own site is the simplest place to measure the journey “source → service viewed → pressed Book → attended”. Likes and views cannot tell you that.

## No-shows: what actually helps

There is an example here of actual research. A Cochrane review of eight randomised studies involving 6,615 participants found that SMS reminders improved attendance. These were medical studies rather than barbershop research, so do not transfer their percentages. The mechanism is still familiar: **a reminder means fewer people forget.**

The second tool is prepayment. Some US barbershops, including Harbor Barber in California, charge for no-shows and late cancellations. Squire claims its customers using stored payment cards saw cancellations fall by 45% and no-shows by 82%. Those are the supplier's own figures, but they show the direction.

**Do not demand prepayment from everyone:** regular customers may resent it. Apply it selectively:

-   to new customers booking long, expensive services;
-   to scarce evening and Saturday appointments;
- to people who have already missed an appointment without warning.

## What all this costs

- **Yandex Maps and 2GIS:** RUB 0 for a basic listing.
- **YCLIENTS:** around RUB 4,050 a month for up to ten barbers. You can set it up yourself; professional implementation starts at RUB 15,000.
- **Website builder:** Tilda RUB 500-750 a month, Craftum from RUB 149.
- **Freelance website:** a realistic RUB 15,000-30,000 for a simple local business site. Marketplace jobs at RUB 5,000 exist, but usually exclude copy and analytics.
- **Studio website:** typically from RUB 45,000-55,000, sometimes RUB 100,000-150,000 or more.
- **SEO:** inexpensive providers at RUB 10,000-15,000 a month; comprehensive work at RUB 45,000-65,000.

A single-location barbershop does not need a RUB 150,000-300,000 website. **If you have an additional RUB 15,000-30,000, spend it on good photographs of the barbers, their work and the shop**, rather than animation. Seeing who will cut their hair matters more to a customer than a fancy opening screen.

## Simple arithmetic

**Take a hypothetical shop:** 400 appointments a month, an average bill of RUB 2,000, and RUB 900 left after paying the barber and buying supplies. These are illustrative figures; use your own.

**Reminders.** At a 7% no-show rate, 28 of 400 appointments are lost. Reduce that to 5%, or 20 appointments, and eight saved visits × RUB 900 = **RUB 7,200 a month.**

**Booking system.** 4,050 / 900 = 4.5. YCLIENTS therefore pays for itself if reminders, easier booking and maps produce **around five additional visits a month.** Just over one a week.

**Website.** 30,000 / 900 ≈ 34 new customers. At five new customers a month, development pays back in six to seven months, before considering return visits. But sending existing subscribers to the site does not make them new customers, and the site cannot claim them as such.

**SEO.** At RUB 15,500 a month, you need 18 new customers each month; at RUB 45,500, you need 51. Expensive SEO for one shop is therefore **a poor purchase before you have seen real search demand.** Start with maps, the website and reviews; collect figures, then decide.

## What to measure so you do not fool yourself

- **Online booking share.** Do not chase someone else's “70% online”: a business with many regulars who prefer calling may have a different normal.
- **No-shows**, with late cancellations counted separately. A cancellation a day ahead hurts less because you can still fill the slot.
- **Return visits.** How many new customers return within 60-90 days, measured separately by channel.
- **Cost per new customer** who actually sat in the chair rather than merely sent an enquiry.

A barbershop lives on repeat visits. **A channel that brings a customer for RUB 1,000 who returns four more times is better than one that brings a RUB 400 customer who never returns.**

## Launch sequence

1. **First one to three days:** set up the booking system, enter services, durations, barbers, schedules and customer records, and enable reminders.
2. **First week:** complete Yandex Business and 2GIS with services, prices, good photographs and a booking button.
3. **First or second week:** launch a simple site on your own domain with barbers, work, prices, the booking widget and messenger links.
4. **Immediately afterwards:** direct links from VK, Telegram, MAX and QR codes to the website and the same booking system.
5. **First month:** record every new customer's source, count no-shows and ask satisfied customers for a review after their visit.
6. **Next two or three months:** add service pages for real searches and try selective prepayment.
7. **Once data is available:** compare acquisition costs from maps, search, social media and recommendations before deciding where to invest more.

## How to commission a website without wasting money

Include the following wording in the contractor brief:

> “Do not create a separate booking calendar. Every Book button must open one booking-system widget with the current schedule. The referral source must be visible in analytics.”

Check three things. The domain and builder account belong to you. The contractor asks about your booking system and district, rather than only colours and fonts. “CRM integration” is a real connection, rather than a form whose enquiries the receptionist copies manually.

If someone promises “guaranteed first place in a few weeks” without asking about the district, services or competition, look elsewhere.

## Frequently asked questions

### I already have a Telegram bot. Should I throw it away?

No. Keep it as another entry point, but make its booking button lead to the shared system rather than the bot's separate diary.

### Can I manage without a website?

**Initially, yes:** booking software and Maps listings handle much of the work. A website becomes useful for new search customers, choosing a barber by their work and independence from platforms.

### Can I find customers without paid advertising?

Yes. For a neighbourhood barbershop, free Maps listings, reviews, a website and recommendations often provide more than advertising. “Free” means paying with time: photographs, reviews, current prices and available appointments.

## Where this leaves you

There is no need to choose between a bot, website and maps. Buy one scheduling “engine” and connect the free or inexpensive entry points to it: maps, the website, messengers, QR codes and recommendations.

**What can wait:** a separate booking bot, WhatsApp, an expensive studio and monthly SEO at RUB 40,000-60,000, until the figures show that they pay.

The most expensive mistake in a barbershop is an empty chair that nobody could book, rather than the absence of a fashionable bot.

**A barbershop website with online booking and links to Telegram, MAX and VK:** barber and service pages for Yandex search, a booking widget and analytics. See [landing page development](https://rm-syst.ru/en/catalog/ai-landing) for details.
